Owner-side: how the request flows

Step 1

Owner submits via portal

Logged-in owner fills form: modification description, dimensions, materials, color, vendor, photos of current state, sketch / site plan if applicable. Auto-saves on each step.

Step 2

Manager initial review

Manager checks completeness against governing-doc requirements per association. If incomplete → request info from owner. Auto-reminds owner at 7d / 14d / 28d if no response.

Step 3

Committee review

ARC committee receives email + portal access to the request packet. Vote in-app (yes / no / request more info / abstain). Decision quorum per governing docs.

Step 4

Decision delivered

Owner notified by email with PDF decision letter (approved / denied / approved with conditions). Drive logs the decision packet for the unit's permanent record.

Step 5

Cure deadline tracking

Approvals come with completion deadlines (typically 60–90 days). System reminds owner at 50% / 75% / 100% of deadline. Failure → violation workflow auto-fires.

Step 6

Inspection on completion

Owner submits photo of completed work. Manager / committee verifies match to approved request. ACC compliance deposit (if any) released back to owner via the reimbursement workflow.

The Lakes

ACC + Landscape Sub-committee

4 members general · 2 landscape. Approvals routed by request type.

Statutory note: per FL governing documents, ARC committees typically have a 30-day window to act on a complete request (silence = approved per most CC&Rs). The system enforces this clock and surfaces requests approaching deadline. Statute does not impose a federal/state ARC review timeline; deadlines come from each association's governing documents.
